Process diagrams become outdated as work changes. Building a habit of keeping them updated yourselves is the key to making them stick.
4 Things to Decide in Advance
- Which process diagrams are needed and by when
- Who will create them…Decide by name
- What is needed to share them with other Members…Granting permissions, methods of communication, etc.
- When and by whom will they be reviewed
Tips for Building the Habit
- Keep a running log of things you want to change…Write down observations you notice while doing your work
- Schedule discussion sessions and decide who will attend…Without a dedicated time to review, updates will keep getting pushed back
- Make it a casual, open conversation…Rather than a meeting focused on reaching conclusions, create a relaxed space where Members, including AI agents, can freely discuss workflow improvements
Making the Most of Version History
A Version is saved every time you save. By giving each Version a name, you can track what was changed and when. Past Versions can be viewed or restored, and you can also duplicate a process from a past Version.
If you save once before making major changes, you can always revert back.
