Process Diagram Usage Patterns

Process diagrams are not something you simply create and leave as is. There are three main ways to put them to use.

A Developing Business Processes — Visualizing the Invisible

  • Examine the business processes for new ventures
  • Putting "expert know-how" into words…By transcribing conversations with experienced staff and feeding them into the system, you can visualize the logic behind decisions they make unconsciously. This can also be used to organize sales pitches and recruitment interviews.
  • Creating common workflows from Reports…You can extract generalized logic from accumulated individual case examples, such as trouble-response Reports.

B Communicating Standard Processes — Building a Shared Understanding Within the Organization

  • Combine with Manuals to create training content
  • Standardize processes across different locations
  • Organizing tasks with many conditional branches…Branching that was difficult to express in Teachme Biz can be organized as patterns along with their corresponding responses.

C Improving Existing Operations — Support for Generating Improvement Ideas and Hypotheses

  • Use it as a tool for generating improvement ideas
  • Project and discuss in real time
  • Use improvement Reports as a basis for generating business improvement ideas

Organizing Your Utilization Policy

Clarifying how your organization will use process diagrams from the following perspectives will make it easier to roll them out.

  • Purpose…Why are you creating them?
  • Target…Who will create them, and who will view them?
  • Timing…When will they be viewed? (e.g., onboarding, during tasks)
  • How…Will you increase the number of viewers, or the number of creators?
  • Location…Where will they be viewed?
